Create, track, and fulfill orders for shipping, receiving, transfers, and returns from one unified workspace.

Create and track orders for shipping, receiving, transfers, and returns. All order types follow a consistent workflow from Draft through to Fulfilled, with bulk operations for processing multiple orders at once.

Orders automatically integrate with Warehouse for picking/receiving and Transport for delivery. Stock is reserved when orders are committed.

Overview

Overview

At its core, the Order Manager helps you:

  • Ship items out — Send orders to customers, distributors, or other locations
  • Receive items in — Record incoming goods from suppliers or transfers
  • Move stock internally — Transfer inventory between warehouse locations
  • Handle returns — Process customer returns and supplier rejections

Order types

The module organises orders into four distinct types, each with its own tab:

Working with orders

Creating orders

From the Order Manager:

  1. Click New Order in the header (creates an order matching your current tab)
  2. Or use the sidebar menu for quick access to all order types:
    • New Send Order
    • New Receive Order
    • New Transfer
    • Process Return

Order creation form:

  • Select a contact (customer, supplier, or internal)
  • Choose source and destination locations
  • Add line items from your inventory
  • Set reference numbers for tracking
  • Add notes or attachments as needed

Viewing orders

Switch between three display modes using the view switcher:

Searching and filtering

Use the search bar to find orders by:

  • Order number
  • Contact name
  • Reference numbers (Ref 1, Ref 2, Ref 3)

Sort orders using the action bar:

  • Date Created
  • Order Number
  • Contact
  • Status

Order Lifecycle

Order lifecycle

Orders progress through a defined workflow:

Draft → Finalized → Committed → Processing → Fulfilled

Status definitions

StatusMeaning
DraftOrder is being created, can be freely edited
FinalizedOrder is complete, awaiting approval or processing
CommittedStock has been reserved/allocated for this order
ProcessingOrder is being picked, packed, or handled
FulfilledOrder is complete (shipped, received, transferred)
VoidedOrder has been cancelled

Advancing orders

You can progress orders individually or in bulk:

Individual actions: Open an order and use the action menu to Finalize, Commit, or Fulfill.

Bulk actions: Select multiple orders using checkboxes, then use the action bar buttons:

  • Finalize — Lock orders for processing
  • Commit — Reserve inventory for selected orders
  • Fulfill — Mark orders as complete
  • Archive — Move completed orders to archive

Order Details

Order details

When you open an order, you’ll see multiple sections:

Header section

  • Order number and type
  • Contact information
  • Status indicator
  • Quick action buttons

Details tab

  • Source and destination locations
  • Reference numbers
  • Creation and due dates
  • Custom fields

Items section

  • Line items with SKU, description, quantities
  • Unit of measure conversions
  • Line-level status tracking

Notes and timeline

  • Add internal notes or customer-visible comments
  • View the complete activity timeline
  • Track who made changes and when

Attachments

  • Upload supporting documents
  • Link to invoices, packing slips, or delivery notes

Warehouse integration

  • View pick/pack status for Send orders
  • Track putaway status for Receive orders
  • Monitor bin-level allocations

Bulk Operations & Archive

Bulk operations

Select multiple orders to perform actions in batch:

  1. Click the checkbox on each order card (or use Select All)
  2. The action bar shows bulk action buttons
  3. Choose an action: Finalize, Commit, Fulfill, or Archive
  4. Confirm the operation

The progress dialog shows real-time status as each order is processed.


Archive and recycle bin

Archived orders

Completed orders can be archived to keep your active queue clean:

  • Access via Archived Orders in the sidebar menu
  • Archived orders are read-only but can be unarchived
  • Use bulk unarchive to restore multiple orders

Recycle bin

Deleted orders go to the recycle bin before permanent removal:

  • Access via Recycle Bin in the sidebar menu
  • View deletion date and who deleted the order
  • Restore individual orders back to the active queue
  • Orders in the recycle bin don’t affect inventory counts

Reports

Generate reports from the sidebar menu:

Order Summary Report:

  • Export a PDF or CSV summary of orders
  • Filter by date range, order type, or status
  • Include totals and breakdowns

Best Practices

Best practices

  1. Use reference numbers — Add PO numbers, job codes, or tracking IDs for easy cross-referencing
  2. Progress orders promptly — Move orders through statuses to keep inventory counts accurate
  3. Archive regularly — Keep your active queue focused on work in progress
  4. Add notes — Document special instructions or exceptions on the order timeline
  5. Review before committing — Once committed, inventory is reserved and harder to adjust
