Contacts module
Manage customers, suppliers, locations, and agents in a unified contact directory with quick actions and order history.
The Contacts module is your central directory for all business relationships. Manage customers, suppliers, warehouse locations, and agents with searchable records, quick actions, and order history.
Contacts integrate with Order Manager, Transport, and Accounts modules. Update a contact’s address once, and it’s available everywhere.

The Contacts module helps you:
- Manage customers — Track customer details, addresses, and order history
- Organise suppliers — Maintain supplier contacts and business information
- Define locations — Set up warehouse and business location records
- Track agents — Manage agent contacts (optional feature)
Contact types
The module organises contacts into categories, each with its own tab:
| Contact type | Purpose | Badge colour |

| All | View all contacts regardless of type | Blue |
| Customers | Clients who purchase goods or services | Green |
| Suppliers | Vendors who provide goods or services | Amber |
| Locations | Warehouse and business locations | Purple |
| Agents | Third-party agents (if enabled) | Blue |
Each tab shows a count badge with the number of contacts.

Creating contacts
Click New Contact in the header to open the quick add dialog:
- Select the contact type (Customer, Supplier, Location, or Agent)
- Enter business name and/or contact name
- Add contact details (email, phone, mobile)
- Enter address information
- Click Create to save
Contacts are created with Active status by default.
Viewing contacts
Switch between three display modes using the view switcher:

Searching contacts
Use the search bar to find contacts by:
- Contact name
- Business name
- Email address
- Phone number
- Address details
The search uses fuzzy matching for flexible results.
Contact details
When you open a contact, you’ll see several information cards:
Header card
- Avatar with initials
- Contact name and business name
- Contact type badge
- Status indicator
Contact information
- Email address (clickable to compose email)
- Phone number (clickable to dial)
- Mobile number
- Fax number
- Website URL
Address information
- Address lines 1 and 2
- Suburb/city
- State
- Postcode
- Country
Additional details
- ABN (Australian Business Number)
- ACN (Australian Company Number)
- GST registration status
- Notes
- Tags and category
Order history
- Chart view — Visual graph of order activity over time
- Order logs — List of orders linked to this contact

Each contact record can include:

Contact status

| Inactive | Contact is temporarily not in use |
| Archived | Contact is no longer used but retained for history |
Contact priority
Assign priority levels to highlight important contacts:

|---|---|
| Low | Standard contacts |
| Medium | Default priority |
| High | Important contacts requiring attention |
| Critical | Key accounts or urgent contacts |
Quick actions
Contact cards include quick action buttons:
- Call — Tap to dial the contact’s phone number
- Email — Tap to compose an email to the contact
These actions open the appropriate app on your device.
Tools & Import
Bulk import
Import contacts from external files:
- Click Import Contacts in the sidebar menu
- Upload a CSV or JSON file
- Map file columns to EQUOS9 fields
- Preview the import data
- Choose import options (dry run available)
- Click Import Contacts to execute

Access tools from the sidebar menu:
Regenerate Index
Rebuild the contact search index for improved search performance. Use this if searches are returning unexpected results.
Reports
Generate reports from the sidebar:
Contact Directory:
- Export your contact list as PDF
- Filter by contact type or status
- Include contact details and addresses
Editing contacts
To edit a contact:
- Open the contact detail view
- Click the Edit button in the app bar
- Modify the contact fields
- Save your changes

Best practices
- Use consistent naming — Establish a naming convention for business names
- Keep addresses current — Update addresses when contacts move
- Set appropriate priorities — Use priority levels to identify key accounts
- Add notes — Document important information about the relationship
- Use tags — Categorise contacts for easier filtering
- Archive instead of delete — Keep historical records by archiving unused contacts
